Which OneDrive data is protected?
DataVault365 captures files, folders and available file versions from connected business OneDrive environments. File names and paths help you find the right version. A file deleted at the source remains available under the retention policy if it was successfully backed up before deletion.
The service is for OneDrive in Microsoft 365 organisations. Personal Microsoft accounts are outside this description. Protection starts at onboarding: versions already permanently unavailable from Microsoft cannot be retrieved retrospectively.
Restore an earlier version alongside the current file
Select a file and inspect its saved versions. The alongside option restores a separate file with a recognisable name, leaving the current file in place. Choose overwrite only when that is the intended recovery action.
You can also recover a folder or restore to another suitable OneDrive or SharePoint document library within the same organisation. Check the destination, permissions and recovery outcome. See the worked recovery example.
Daily backup and pooled storage
Plans include automatic daily backups. The portal shows the last successful processing time. Essential includes 50 GB of stored backup data per user, pooled across your organisation, with retention up to one year. Compliance includes 100 GB per user and retention up to seven years.
Storage is measured after compression and deduplication. Additional storage costs € 10 per 100 GB per month, excluding VAT. See pricing, minimum order and full terms.
What to check during onboarding
- Which users and OneDrive environments will be connected?
- Have the required Microsoft permissions been granted?
- Have the initial backup and a representative recovery check completed successfully?
- Which retention is needed when someone leaves or a project ends?
Protected or inaccessible files and Microsoft limits can restrict processing. File recovery is not a complete reconstruction of account settings or every sharing permission; check access after restoring.

Why is synchronisation different from backup?
Synchronisation propagates changes and deletions. A separate backup preserves previously captured content under its own retention policy.
Can I recover a former employee’s files?
Yes, if they were captured before and remain within retention. Restore to another suitable OneDrive or SharePoint library within the same organisation when the original account is unavailable.
