What is included in the email backup?
DataVault365 stores the complete content of messages in connected mailboxes: sender, recipients, subject, text, formatting and attachments. Messages in nested folders are included. Backup data is encrypted and stored in Germany.

This service covers email. Calendars, contacts and Exchange configuration are outside the backup described here. We agree which mailboxes are protected during setup.
Backup frequency and retention
Plans include an automatic daily backup. The portal shows the last successful processing time for each mailbox. The initial backup takes time; only captured messages are available for recovery. Permissions, data volume and Microsoft limits can affect processing.
Essential offers retention of up to one year; Compliance offers up to seven years. Deleting a message in Microsoft 365 does not immediately remove an already saved backup: the agreed retention applies. Read about backup retention.
Recovering a deleted email
- Find the mailbox and message in the portal and check the saved version.
- Download the message or restore it to the original mailbox or another suitable mailbox within the same organisation.
- Check the recovery folder and the outcome in the restore activity overview.
Please note: restoring through Microsoft creates a draft copy in a recovery folder. It does not send the message again or recreate it as a newly received email. Check the content and attachments after recovery.
Pricing and setup
Exchange Online is included in Essential from € 3.95 per user per month, excluding VAT and billed annually. The minimum is ten users or € 39.50 per month. Under the plan terms, shared mailboxes and former employees do not count as users; their backup data does count towards storage.
An authorised administrator grants access to Microsoft 365. We then check the selected mailboxes and first backup run. See all plans and storage terms.
Questions about Exchange Online backup
Is this the same as the Outlook recycle bin?
No. DataVault365 keeps a separate copy with its own retention period. Recovery requires the message to have been captured in a backup.
Can I recover a former employee’s email?
Previously backed-up messages remain recoverable within the configured retention. If the original mailbox is unavailable, a suitable target mailbox in the same organisation is required.
